Short version: GimFox uses a minimal set of cookies — primarily session cookies required to keep you logged in. We do not use advertising cookies or sell cookie data to any third party.

What Are Cookies?

Cookies are small text files placed on your device by a website when you visit it. They are widely used to make websites work efficiently, remember your preferences, and provide information to website owners.

Cookies cannot be used to run programs or deliver viruses to your device. They are uniquely assigned to you and can only be read by the web server that created them.

Types of cookies by duration

  • Session cookies — temporary cookies that are erased when you close your browser
  • Persistent cookies — remain on your device for a set period or until manually deleted

Cookies We Use

GimFox uses a minimal number of cookies. We categorise them as follows:

Required for the platform to function

Remember your settings (theme, sidebar)

Anonymised usage patterns (privacy-safe)
Advertising
None — we do not use advertising cookies

Essential Cookies

These cookies are strictly necessary for the GimFox platform to operate. Without them, you would not be able to log in, navigate between pages, or use any features. You cannot opt out of essential cookies.

Session Cookie

  • Name: gimfox_session
  • Purpose: Maintains your authenticated session — stores your gym code, database connection, and authentication state server-side (file-based storage, not database)
  • Duration: Session (expires when you close the browser or log out)
  • Type: First-party, HttpOnly, SameSite=Lax

CSRF Token Cookie

  • Name: XSRF-TOKEN
  • Purpose: Protects against Cross-Site Request Forgery attacks on all form submissions and data mutations
  • Duration: Session
  • Type: First-party, SameSite=Lax

Security note: GimFox uses file-based session storage (not database). This is an intentional architectural choice to ensure sessions remain valid across database switches when switching between tenant databases.

Preference Cookies

GimFox stores certain UI preferences in your browser's localStorage (not cookies). These are not transmitted to our servers and exist only on your device.

  • Admin theme preference — your light/dark mode choice, scoped per gym code (key: gimfox-admin-theme-{gym_code})
  • Sidebar state — whether the admin sidebar is collapsed or expanded
  • Dashboard widget layout — your custom dashboard widget arrangement (stored server-side per admin user)

You can clear these at any time by clearing your browser's site data for GimFox.

Analytics Cookies

GimFox may use privacy-first analytics to understand how the platform is used in aggregate. If we use analytics, we follow these principles:

  • No personally identifiable information is collected
  • Data is aggregated — we cannot identify individual users from analytics data
  • IP addresses are anonymised before storage
  • We do not share analytics data with advertising networks

Currently, GimFox uses only server-side logging for performance monitoring. If we introduce client-side analytics in the future, this policy will be updated and gym owners will be notified.

Third-Party Cookies

GimFox does not embed third-party advertising scripts, social media tracking pixels, or retargeting tools on any page within the gym management application.

Google Fonts

The marketing website (gimfox.com) loads fonts from Google Fonts. Google may set a cookie as part of serving these fonts. This is a technical cookie and no personal data is used for advertising. You can learn more in Google's Privacy Policy.

Payment Gateway

When you complete a subscription payment, our payment processor may set cookies necessary to process the transaction securely. These cookies are governed by the payment provider's own cookie and privacy policies.

We have no access to or control over cookies set by third-party services. We only work with providers whose privacy practices we have reviewed.

Managing Cookies

Browser Controls

You can control and manage cookies through your browser settings. Most browsers allow you to:

  • View what cookies are currently stored
  • Block all cookies from being set
  • Delete existing cookies
  • Set preferences for specific websites

Browser-specific guides:

  • Chrome: Settings → Privacy and security → Cookies
  • Firefox: Options → Privacy & Security → Cookies
  • Safari: Preferences → Privacy → Manage Website Data
  • Edge: Settings → Cookies and site permissions

Important: Blocking or deleting the gimfox_session cookie will log you out of the GimFox platform. Essential cookies cannot be blocked without breaking core functionality.

Do Not Track

GimFox respects the Do Not Track (DNT) browser signal. When DNT is enabled, we do not deploy any non-essential tracking.

Policy Updates

We may update this Cookie Policy to reflect changes in technology, legal requirements, or our platform. When we do:

  • The "Last updated" date at the top of this page will be revised
  • Material changes that introduce new cookie categories will be communicated to active gym owners via email
  • Continued use of GimFox after the effective date constitutes acceptance of the updated Cookie Policy
