Overview

GimFox is a subscription-based Software-as-a-Service platform. We want every gym owner to be satisfied with GimFox. This policy explains when and how refunds are issued for GimFox subscriptions.

We believe in fair and transparent billing. If something isn't working for you, please contact our support team first — we're confident we can resolve most issues before a refund is needed.

Billing Cycles

Monthly Plans

Monthly subscriptions are billed every 30 days from your subscription start date. Payment is collected at the start of each billing period. Access continues until the end of the paid period.

Annual Plans

Annual subscriptions are billed once per year upfront and typically offer a significant discount compared to the monthly rate. Annual billing provides the best value for gyms committed to running their business on GimFox.

All prices are in Indian Rupees (INR) and include applicable taxes. You will receive an invoice via email for every payment processed.

Cancellation

You may cancel your GimFox subscription at any time. To cancel:

  • Email us at hello@gimfox.com with the subject line "Cancel Subscription"
  • Include your gym code and registered email address
  • We will confirm cancellation within 1 business day

What happens after cancellation

  • Your gym account and all data remain accessible until the end of your current paid billing period
  • No further charges will be made after cancellation is confirmed
  • Your gym database and member data are retained for 60 days after the billing period ends, then permanently deleted
  • You can request a data export at any time before deletion

Cancelling your subscription does not automatically delete your data — your data is kept accessible until the billing period ends, and then retained for 60 days before deletion. Contact us if you need immediate deletion.

Refund Eligibility

7-Day Money-Back Guarantee (New Subscriptions)

If you are a new GimFox customer and are not satisfied with the platform within the first 7 days of your initial subscription, you are eligible for a full refund. To claim this:

  • Contact us within 7 days of your first payment at hello@gimfox.com
  • Briefly describe your reason for cancellation (helps us improve)
  • A full refund will be processed to your original payment method

Annual Plans — 30-Day Pro-Rata Refund

For annual subscription holders who wish to cancel within the first 30 days of an annual billing cycle, we offer a pro-rata refund calculated as:

  • Total annual amount paid minus the daily rate for days already used
  • Example: if you cancel on day 15 of an annual plan, you receive a refund for the remaining 350 days at the daily rate

After 30 days of an annual cycle, no refund is issued for the remaining period, but you may cancel to prevent auto-renewal.

Non-Refundable Cases

Refunds are not issued in the following situations:

  • Monthly subscriptions cancelled after the 7-day new-customer window
  • Annual subscriptions cancelled after 30 days into the billing cycle
  • Accounts terminated by GimFox due to violations of our Terms of Service
  • Unused features within a plan — you are billed for access to the plan, not per-feature usage
  • Subscription renewals where the renewal was not cancelled before the billing date
  • Partial months or days within a billing period for monthly plans
  • Plan upgrade charges — upgrades are immediate and non-refundable

Plan Changes

Upgrades

When you upgrade your plan, the new plan takes effect immediately. The cost difference is charged immediately and is non-refundable.

Downgrades

When you downgrade your plan, the change takes effect at the start of your next billing cycle. The lower plan price will be charged from that point. No refund is issued for the difference in the current period.

Plan Changes Mid-Cycle

GimFox does not issue credits for mid-cycle plan changes. We recommend making plan changes near the end of your billing cycle to avoid paying for unused higher-tier access.

Refund Process

Once a refund is approved:

  • Refunds are processed to the original payment method used for the subscription
  • Processing time is typically 5–10 business days, depending on your bank or payment provider
  • You will receive an email confirmation once the refund is initiated
  • If you paid via UPI, the refund returns to the originating UPI account
  • If you paid via credit/debit card, the refund appears on your next statement cycle

If you do not receive your refund within 10 business days of the confirmation email, please contact your bank before reaching out to us.
